See How It Works

A day in the life of a conveyancing firm running on AUREXIS Conveyancing

From the moment reception opens to the moment the last file closes — one ordinary, busy day. The people are illustrative. The day shows where AUREXIS Conveyancing is heading: steps marked Not in the pilot yet are planned, not built. Everything else is in the version founding firms use.

Everyone works off the same system

…but each person sees their job, not everyone else's

Six people run this small Taiping practice. AUREXIS Conveyancing gives each of them one clear surface — and one shared source of truth.

Receptionist

Nadia

Captures every enquiry, from any channel.

Conveyancing Clerk

Ravi

Runs a file that tells him what to do next.

Lawyer

Ms Chong

Advice & approvals, with the rules it holds already checked.

Cashier

Kamal

Trust money kept safe and always balanced.

Partner

Mr Tan

Oversight of the whole practice at a glance.

Client

The Lees

Visibility into their own matter, without phoning in. (Not in the pilot yet.)

The day

From reception opening to the last file closing

8:30AM
Reception · Nadia

Reception opens

Three enquiries already waiting — a WhatsApp, a website form, a missed call — plus a walk-in. Nadia captures each the same way, whatever the channel. As she types a returning client's IC, AUREXIS Conveyancing recognises him: “Appears in 2 previous matters.” No stranger to re-enter.

9:15AM
Compliance

Conflict checks

AUREXIS Conveyancing checks each enquiry against every client and matter held in it. (The firm's own conflict procedures still apply.) One couple: clear. One seller: flagged — the firm already acts for the buyer on that very sale. AUREXIS Conveyancing won't let it become a file, and records the reason. The nightmare caught at the door.

9:45AM
Lawyer · Cashier

The firm decides to act — and a file is born

A quotation on the standard scale fee, an engagement letter out, the deposit received into the client account — separate from the firm's own money from the first ringgit. Only now does AUREXIS Conveyancing open the file. Never on a hope; when it opens, it opens clean.

10:30AM
Clerk · Ravi

Ravi runs the files

Not a blank folder — each live file shows what it needs next. Order the title search here; issue the SPA there; and every file shows its next step and the date it's due. Ravi never has to ask “what do I do on this one?”. The file already knows.

11:15AM
Held · with a reason

AUREXIS Conveyancing holds a step the rules say isn't ready

Held
This title needs State consent before it can be transferred.
Why
It's a leasehold with a restriction in interest — it can't be dealt with until the Pejabat Tanah dan Galian (Perak) consents.
What to do
Lodge the consent application; upload the consent once received.
Likely delay
A few weeks.

No guesswork, no reliance on memory — and the file will not complete until the consent is in. One less thing left to memory.

12:00PM
Clerk · Ravi

Chasing the bank

A refinancing has been waiting on the bank's loan documents. It's now flagged overdue — the deadline passed. Ravi didn't have to remember; the file surfaced it. Across the whole practice, nothing waits silently.

2:30PM
Completion · Cashier

Completion day

Partly in the pilot Estimates and a draft completion statement are in the pilot; trust money stays in your firm's accounts system.

Everything must line up at once. AUREXIS Conveyancing assembles the completion — the seller's loan redeemed, the transfer to the buyer, the buyer's new charge — together, in order, all-or-nothing. The statement balances to the sen. Because it's trust money, two people release it: one records, one approves. The transfer is submitted for registration.

3:30PM
Registration

Registration & reconcile

Not in the pilot yet

When the register confirms the dealing, AUREXIS Conveyancing reconciles the file against the official record. AUREXIS Conveyancing never pretends to be the register — it prepares, submits, and checks reality against its own file.

4:30PM
Client · The Lees

A file closes

Not in the pilot yet

The Lees' purchase completes and closes. In their client portal they see it for themselves: Completed. They never had to phone to ask “is it done yet?”. The file is put to rest — the client is not.

5:00PM
Partner · Mr Tan

The Partner's view

Not “150 open matters” — his practice: clients, active and completed files, cashflow balanced, one file properly held for consent, one bank being chased, a healthy pipeline, a growing client base. The whole business at a glance, nothing hidden.

What it's like

Calm. Predictable. In control.

Nothing is missed. Enquiries, conflicts, deadlines, consents and trust money each surface themselves, on time.
The file leads. Staff follow a file that knows the next step; seniors approve rather than chase.
The law is already checked. Every gate is held and cited — you always know how to clear a block.
The money is safe. Client money segregated from day one, never moving without balance and sign-off.
The partner sees everything. One screen, the whole practice — clients first.
The client trusts you. They watch their matter progress, come back, and bring others.

5:30 PM · Why the firm exists

The last email of the day.

The Lees — the young couple who walked in weeks ago, anxious, buying their very first home — have sent their cousin. No one asked them to.

They did it because, the whole way through, they always knew where their matter stood, their money was safe, and nothing was ever missed. They felt looked after.

Tomorrow at 8:30, that cousin's enquiry will be waiting when Nadia opens reception — and the day begins again, warmer this time, on trust already earned.

A firm doesn't grow on the files it closes.
It grows on the clients who come back — and the ones they bring.

This is the payoff every other step is for. Everything else is mechanics — this is the business.

Every client matters.

Because every happy client brings the next one.
